Data Retention and Destruction Policy (summary)

1. What does "end of the school year" mean?
It is 30 June of the school year to which a record belongs. For a record created between July and December, 30 June of the following year is used; for a record created between January and June, 30 June of the same year is used. Example: for a post on 6 October 2026, the end of the school year is 30 June 2027.
2. Retention periods

3. How is data destroyed?
- A background task on the server runs once a minute; it deletes expired records from the database and removes the related photo files from the disk.
- When a student is deleted, that student's messages, portfolio, tags and photos are deleted; when a class account is deleted, all of the class's journal posts, messages, portfolio and photo folder are deleted at the same time.
- If orphaned files or records (with no owner) are found, the same task cleans them up too.
- Before deletion, the teacher can download the class journal archive and their messages with each parent as a ZIP file; the parent can also save the album as a PDF. Keeping and destroying downloaded copies is the responsibility of the person who downloads them.
4. Deletion on request
You can send your deletion request under KVKK Art. 7 and Art. 11 to [email protected]. Because the school is the data controller for class data, the request is forwarded to the school; it is carried out on the school's instructions within 30 days at the latest. You can delete family account data instantly in the app with Settings → Delete account.
