Parent Information Notice
Class journal · teacher–parent messaging · student portfolio and the "My year" album

This notice has been prepared, in accordance with Article 10 of Turkish Personal Data Protection Law No. 6698 ("KVKK") and the Communiqué on the Procedures and Principles to Be Followed in Fulfilling the Obligation to Inform, to inform you about your personal data and your child's personal data processed when the features described below are used.
1. Who is the data controller?
There are two different roles in these features, and which one applies depends on where the data is held:

With respect to class data, this notice has been prepared by Motivasyon TV in its capacity as data processor, on behalf of and on the instructions of the school as data controller. If your school has its own information notice, that notice also applies; if the two conflict, you can contact your school.

2. What personal data do we process?

Data we do not process: Your phone number, address, Turkish national ID number, grades and exam information, and disciplinary information are not requested and are not processed in these features. The teacher's phone number or email address is not shown to you, and yours is not shown to the teacher. No facial recognition or biometric processing is performed on photos. Photos are re-encoded in the browser; EXIF information carrying location (GPS) and device details is removed during upload and again on the server.
Health information: Messaging is not designed for sharing health information. For your child's medication or illness, please use the "Medication instructions" and "Absence" sections in the app; these sections work with a separate explicit consent.
3. For what purposes and on what legal bases do we process data?

Your personal data is not used for advertising, profiling, marketing or training artificial intelligence models, and is not sold or rented.
4. Who can see it, and to whom is it transferred?
- Class journal: Only the teacher of your child's class and the parents connected to that class with a personal parent link or a teacher-approved family account. Other parents do not see the names of tagged children; you are shown only whether your own child is tagged.
- Messaging: Only the teacher and your child's parent. Parents cannot write to each other; there is no group chat.
- Portfolio and album: Only the teacher and your child's parent.
- School management: The school panel does not show this content. The school, as data controller, may ask the teacher for information when a legal obligation or the review of a report requires it.
- Reports: If you report a message, the reported message and your short explanation are forwarded to the Motivasyon TV support team by email; only an alert without content ("there is a new report") goes to the administrator's phone.
- Competent authorities: Only where required by law, to the competent public authority or judicial body making the request (Art. 8(2)(a), Art. 28).
Our service providers (sub-processors) and transfers abroad. Motivasyon TV's server is in a data center outside Turkey, in Germany (Frankfurt). Therefore all data processed in these features is stored abroad:

About transfers abroad: Because these providers do not yet offer the standard contract announced by the Turkish Personal Data Protection Board and there is no adequacy decision for the countries data is transferred to, a transition to hosting personal data in Turkey has been started for full compliance with KVKK Art. 9. Until the transition is complete, data is processed with these providers over encrypted connections and with the technical and administrative measures described in this notice; this notice will be updated when the transition is complete. These features do not send any data to YouTube or to any other video, advertising or analytics service (the live stream page is a feature used only at home, on a separate page, and is not shown on school screens).
5. How is personal data collected?
Data is collected electronically, by automated means, through the information that the teacher and you enter in the app (the motivasyontv.com website, the Motivasyon TV phone app or the personal parent link sent by the teacher).
6. How long is it kept?
"End of the school year" means 30 June of the school year in which the post was made (e.g. 30 June 2027 for a post on 6 October 2026). When the period ends, the records and photo files are deleted automatically and permanently by the server.

When a student or class account is deleted, the related journal posts, messages, portfolio and photos are deleted immediately. Deleted data leaves the daily backups within 30 days at the latest. Details: Data Retention and Destruction Policy.
7. An honest note about saving photos
Parents who can see the photos in the class journal can save them on their own devices or take screenshots; no app can technically prevent this completely. That is why photos in which your child's face can be recognized are shared only with your explicit consent, teachers are offered a tool to cover (blur) faces, and the default recommendation is to share work and activities without showing children's faces. You are also obliged not to share photos of other children outside the class (social media, messaging groups, etc.); otherwise you may be directly liable to those children's parents.
8. Your rights (KVKK Art. 11)
On your own behalf and on behalf of your child whose parent you are, you have the right to:
- learn whether personal data is processed,
- request information about it if it has been processed,
- learn the purpose of processing and whether it is used in line with that purpose,
- know the third parties in Turkey or abroad to whom it has been transferred,
- ask for it to be corrected if it has been processed incompletely or incorrectly,
- ask for it to be erased or destroyed within the conditions of KVKK Art. 7,
- ask for the correction, erasure and destruction to be notified to the third parties to whom the data has been transferred,
- object to a result against you arising from the analysis of the processed data exclusively by automated systems,
- claim compensation if you suffer damage because of unlawful processing.
Rights you can use straight away in the app: You can withdraw your photo sharing consent at any time from the "Photo permission" card on the parent screen (withdrawal takes effect immediately and for the future). You can turn off notifications. You can delete your family account entirely with Settings → Delete account.
9. How can you apply?
You can send your requests about your rights in writing to [email protected], in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, clearly stating your identity and your request. So that we can verify that the application concerns your child, it is enough to write the name of the class whose parent link you use and your child's name in the class; we may ask for additional verification if necessary. Your requests are concluded free of charge within 30 days at the latest; if the action requires an additional cost, the fee in the tariff set by the Board may be charged (Art. 13).
For requests concerning class data, the data controller is your school: you can also send your request directly to the school. We forward the requests we receive to your school and carry them out without delay on the school's instructions.
If your application is rejected, if you find the answer insufficient, or if no answer is given in time, you can file a complaint with the Turkish Personal Data Protection Board within 30 days from the date you learn of the answer and in any case within 60 days from the date of application (Art. 14) — www.kvkk.gov.tr.
10. Changes
If this notice changes, the new version is published on this page and the app asks you, the next time you open it, to confirm that you have read the new version; class journal, messaging and portfolio content is not shown until the new version has been read.
